Room Reservation Instructions

For those who are using the School’s Outlook email and calendaring system via an Exchange account, you can now view conference room availability for Mailman School conference rooms using your Outlook calendar.

Please note: To book the Dean’s conference room on the 14th floor at 722 W. 168th Street, please e-mail Yolanda Quinones. To book the other rooms, simply follow the instructions below.

View Conference Room Availability

  1.  Open and login to your Outlook account.
  2.  Click on the Calendar tab in the left navigation pane
  3. Select “Open a Shared Calendar” in the left navigation pane
  4. Click the “name” button in the box that pops up
  5. Use the dropdown menu in the address list to select "All Rooms"
  6. You will see a list of all MSPH conference room calendars. Select the one you wish to view and click "ok." You will be able to see when space is available for that room.

Determine the Room’s Owner and Reserve the Room
There is no online booking feature—you must contact the owner of that room directly to reserve it. To find out who the owner is via Outlook, follow the instructions below. Otherwise, simply reference the list of owners (attached).

  1.  Once you have the calendar open for the room you wish to book (per the instructions above), find the calendar listed under “People’s Calendars” in the left navigation pane.  
  2. Right click the Calendar’s name and select "properties"
  3. In the window that pops up, select the "summary" tab
  4. The Calendar owner(s) are listed under "Calendar Contacts" in that window. It is recommended that you contact the first owner listed to reserve the room.
