Computer disposal practices and policies

Policy:  The disposal of all equipment, including computers, must be handled properly, accounted for accurately, and executed in conformance with University data handling requirements.

 

Procedure for Data Sanitization as Related to Computer Disposal:

  • If a computer is to be sold, donated, or repurposed, wipe the hard drive – reformatting is not enough!
  • If a computer will be disposed of, take out the hard drive and dispose of it through CUMC-IT


Procedure for Disposal:

  • Ask if the computer was purchased with sponsor funds or donations; if yes, have the asset management custodian consult the sponsor agreement or donation documentation to identify any limitations on disposition of assets
  • Once any restrictions have been addressed, coordinate with CAA to complete an Equipment Inventory Adjustment Form
  • Selling or Trading an Asset:  If planning to sell a computer, contact the CAA Property Manager first
  • Damaged or Destroyed University Equipment:  If the computer has been damaged or destroyed beyond economical repair or is no longer useful and is being cannibalized, remove the item from the inventory records upon written notification to CAA on the Equipment Inventory Adjustment Form
  • Lost, Damaged, Stolen, or Destroyed Government Equipment:  If the computer has been lost, damaged, stolen, or destroyed, report the situation to the CAA Property Manager in all cases as soon as the condition is known
  • Excess Government Capital Equipment:  Obtain prior concurrence of the CAA Property Manager and written approval of the cognizant federal agency prior to trading in or cannibalizing a computer
  • Once computer disposal is completed, remove the item from the asset management database
