Asset Tagging

Policy:  All Mailman-owned assets that are tied to the CU network – including desktops, laptops, and PDAs – must be tagged with a University barcode label.  This requirement also applies to Mailman-managed assets that are owned by another party.

 

Procedure:

  • Obtain labels from Columbia University’s Capital Asset Accounting unit
  • Use the item’s serial number for the asset number; if a Dell model, use the service tag number
  • Affix the barcode label on a visible outside surface of the asset
  • Indicate  the name and contact information of the asset management custodian

Note:  If an item is too small to receive the barcode label or if the application of the label would adversely affect the operation of the item, a virtual tag should be assigned. The process for virtual tagging is to use the next tag on the roll, record the number, and place the tag on the Equipment Receiving Form, noting that it has been virtually tagged.
